Supplier Documentation Checklist
What to collect before adding a new wholesale product to a catalog.
Establish identity
Collect the legal business name, contact information, licenses or registrations where relevant, product specifications, current photos, option structure, and written fulfillment terms.
Collect batch records
Obtain current COAs, lot references, manufacturing or harvest dates where supplied, ingredient disclosures, and remediation information. Confirm the laboratory report is authentic.
Define commercial terms
Record pricing, minimums, lead times, substitutions, defect allowances, returns, freight, payment terms, and notification requirements for product changes.
